We are looking for a disciplined and detail-oriented Sales and Operations Executive Assistant with 3+ years of experience to support business operations through effective use of Salesforce and other tools. This role requires some inside sales experience, strong analytical skills, the ability to manage and summarize large volumes of information, and a commitment to maintaining accurate and up-to-date sales and CRMdata. The ideal candidate will be comfortable working across U.S. time zones, knowledgeable in life sciences and medical technology terminology, and proactive in identifying opportunities to enhance Sales processes, improve tracking, processes and efficiency.
Key Responsibilities:
🔸 Maintain and continuously update Salesforce records, ensuring accuracy, completeness, and data integrity
🔸Act as a “Salesforce keeper,” taking ownership of data quality and system hygiene
🔸Document all customer interactions in Salesforce, including copying relevant communications and ensuring proper tracking
🔸Analyze large volumes of information and compile concise, structured summaries for entry into the corporate system and for executive reporting
🔸Support and manage specific sales-related processes, ensuring consistency and accountability
🔸Maintain well-organized business documentation and communication records
🔸Collaborate with internal stakeholders across U.S. time zones, ensuring accessibility and responsiveness
🔸Identify inefficiencies in current sales and salesforce workflows and propose enhancements to improve effectiveness and productivity
🔸Be a point of contact to drive sales campaigns for the health and life sciences area while coordinating with the marketing teams
🔸Work with the marketing teams to automate sales campaigns and event based campaigns
🔸Support the health and life sciences area in tracking and coordinating all operational and financial information supporting key accounts
🔸Support key accounts in proposal content or other pursuit areas as needed
🔸Coordinate and follow up with client meetings and pursuit based calls
🔸Serve as a pursuit coordinator on key pursuits as appropriate
Requirements:
🔹 3+ years of experience in a CRM-focused role, Executive Assistant position, or similar
🔹Hands-on experience with Salesforce (data entry, maintenance, reporting, and updates)
🔹Familiarity with life sciences and medical technology terminology
🔹Excellent organizational, time-management, and communication skills
🔹Ability to work across multiple U.S. time zones (flexible schedule required with a high overlap to US EST timezone)
🔹High level of accountability and ability to manage confidential information
Nice to Have:
🔻Experience optimizing CRM workflows or suggesting system improvements
🔻Experience supporting sales, medical, or technical teams
